    Managing Supplier Name Changes

      Ariba is integrated with PeopleSoft at our company. The supplier info, contract effective/expiration dates, and dollar values of the published contracts in Ariba are sent to PeopleSoft daily.  The issue we are experiencing is when the supplier changes their legal name.  A new record is created in PeopleSoft with the new taxpayer ID.  Now when the published contracts are sent over to PeopleSoft they no longer match the correct supplier ID and no purchase orders can be placed.  We have been able to resolve these cases by adding the new suppliers in Ariba for any new contracts created or those still in Draft status.  However, for those contracts that have already been published (with contract compliance terms) and are still active we don’t have a way to modify their supplier info in Buyer.  I have worked with Ariba and this is a known issue and have entered an enhancement request. Has anyone else dealt with a similar issue?  If so, how do you handle supplier name changes?

          Well, You can edit the supplier name in Ariba if you have the administrative access.

           

          To Edit the supplier name, search for supplier click on the supplier name and Action>Edit>Profile.

           

          This option allows you to edit the supplier name.

              Correct, I can edit the supplier name.  However, the PeopleSoft ID number would still not match up though.  We use the PeopleSoft ID number as the unique identifier so for instance supplier abc has a PeopleSoft ID of 123 and they change their name to xyz a new entry in PeopleSoft is created with an ID of 456.  Even if we rename supplier abc to xyz in Ariba it's unique identifier would still be 123 and not match up with 456 for Purchase Orders.

                  In this case you can update supplier Id as well.

                   

                  To Edit the supplier Id in Ariba, search for supplier click on the supplier name and Action>Edit>Profile>Action>Edit>Organisation Id.

                   

                  You can keep updating your current supplier name and Id, instead of creating a duplicate supplier.
