    Sourcing - Roles and permission to use for specific team member.

      SOurcing Event Roles and Permissions:

       

      Can you tell me what group / permissions /roles I should use if I require a Team member to have the following functionality:

      • -          receive all participant messages,
      • -          receive all messages generated by Team members and Owner, system
      • -          Should not be able to reply to the messages
      • -          Should not be able to send messages to suppliers
      • -          Should not be able to edit, pause, extend, pause the event.

      Ba    Basically would like the team member in a sepcific group to see all activities pertaining to an event(read only),

                but have no permissions to be able to write.

              Beverly - thank you.  This matrix is extremely helpful.  Our organization has also been struggling with Upstream groups/roles/permissions, and assigning the appropriate levels to users.   One question - in the User/Team column, am I assuming correctly or incorrectly what those mean?

                   User - user must have the group assigned

                   Team Member - user must have the group assigned AND be a team member on the project

               

              Do you know if there is additional information posted here, or on Connect, or on the Knowledge Base that provide definitions of roles & permissions for Sourcing also, as well as groups/roles/permissions for ACW?

                  Hi Rebecca -- glad to hear you found the matrix useful.  The matrix I listed above was for On Demand applications; however, there  may very well be similar role and permission based solutions for your On Premise applications, as well.  To answer your question, customers can access a document in the Help menu of the site which provides both a description of each System Group and also indicates whether it counts as a User or Team Member license. The document is titled “Group Descriptions Workbook for Sourcing, Contract Management, Supplier Management and Spend Visibility”. This guide is also available via search in Connect (https://connect.ariba.com).  If you still have questions regarding the definition of a USER vs a TEAM  MEMBER, you can consult your Ariba Order form which details the  definition as agreed to in your specific contract with Ariba.

                  Best Practice Tips

                  1. Make sure anyone assigned to the Customer User Admin Group is aware of the User and Team Member contractual limit.

                  2. Be sure to deactivate UserID’s when someone leaves the company or switches roles. Deactivating a user will exclude them from being counted against a User or Team Member license.

                  3. For information on how to add/modify/deactivate a UserID, please reference the Common Data Import and Administration Guide that can be found in the Help Menu within the Administration area of the site.

                  I also found this matrix to be very helpful.  One aspect that we are struggling with is how to give our Team Members access so that they can collaborate on project content but not be assigned Project Owner status in the tool.  Is there a privilege that could be given so that they can go in and edit some of the content and questions, as well as be involved with Team Grading, but retain their Team Member status?

                   

                  I haven't found a good role that would address that.

                      Hi John -- glad to hear that you found the matrix helpful.   There is a role called “Active Team Member” that will allow users to add/edit documents without being a project owner.   I suggest that you submit a Service Request through Ariba Connect and allow the Ariba team to discuss and walk you through how this might work for you.  Additionally, I am going to send a note to your Ariba Account Manager, mpropsom, letting him know you might need to discuss this further!
